Privacy Policy

Effective date: 1 October 2026

Purbanchal Shipping Agencies Private Limited (“PSAPL”, “we”, “us”) operates purbanchalshipping.com. This policy explains what personal information the website and its enquiry form handle, why, and how to contact us about it.

1. When you visit the website

Our hosting provider, Hostinger, automatically records technical information about each request in its server and content delivery network (CDN) access logs: your IP address, browser type, the page requested, the referring page and the time. Hostinger uses these logs to operate and secure the website.

We do not use analytics, advertising pixels, tag managers or embedded maps on our public website pages, and those pages are configured not to set tracking cookies. WordPress uses essential cookies on its login and administration pages, including a cookie used to test browser cookie support before sign-in.

2. When you send an enquiry

The enquiry form asks for:

  • your name (required);
  • company or organisation (optional);
  • email address (required);
  • phone number (required);
  • the service you are interested in (optional); and
  • your message (required).

A hidden field, invisible to people, helps us detect automated spam.

We use enquiry information to respond to and follow up on your enquiry, keep relevant business records, operate and secure the enquiry form, and diagnose email-delivery failures. You provide this information voluntarily for these purposes. We do not use it for marketing or sell it.

  • Delivery. Valid enquiries that pass our checks are submitted for email delivery to info@purbanchalshipping.com through Hostinger’s email service. The website does not maintain a separate permanent register of successfully sent enquiry contents. Copies may exist in our mailbox, replies, forwards, email-provider systems or backups while the enquiry is being handled.
  • Email diagnostics. The website records limited email-sending error information so that delivery problems can be investigated. These records may contain an email address and technical error details. Detailed email-sending debug logging is disabled. Email-sending error records are retained for up to one month under the current website configuration and are then subject to the plugin’s normal deletion process.
  • Limiting repeated submissions. The website derives a salted identifier from the IP address available to it and uses that identifier for an anti-spam counter. The counter increases after a successfully sent enquiry and expires for use one hour after the most recent successful send associated with that identifier. Hashing reduces direct exposure of the IP address but does not guarantee anonymity. The form does not include your IP address in the enquiry email. Hosting and CDN access logs are separate.
  • Errors. If validation fails or email sending reports a failure, the form temporarily stores the details you entered so that you can correct or retry your enquiry. These details expire for use by the form after 15 minutes. Expiry does not necessarily mean immediate physical removal from underlying storage or backups; expired data is subsequently removed through normal WordPress cleanup and backup-retention processes.

3. Service providers and sharing

Hostinger provides our website hosting, CDN and email, and processes the information described above only as needed to provide those services to us. Otherwise, we share personal information only with our professional advisers, where the law or a government authority requires it, or to establish, exercise or defend legal rights.

4. Links to other websites

The website links to Google Maps for our address and, on the Photo Credits page, to photograph sources and licensing information including Wikimedia Commons, Pexels, Creative Commons and the Government Open Data Licence – India (data.gov.in). Nothing from these websites is embedded in our pages. When you follow a link, the other website’s privacy policy applies.

5. Security

The website is served only over HTTPS. The enquiry form uses a security token, a hidden anti-spam field and server-side validation. An IP-derived counter helps limit repeated enquiries by blocking further submissions once it records five successful sends, until the counter expires. Only authorised people can access the website’s administration and our mailbox. No system is completely secure, but we take reasonable steps to protect the information we hold.

6. How long we keep information

  • Successful enquiries: retained in our business email records for as long as reasonably necessary to handle the enquiry and related business correspondence, subject to applicable legal or business record-keeping requirements.
  • Submission counter: expires for use by the form one hour after the most recent successfully sent enquiry associated with the IP-derived identifier.
  • Details kept after a form error: expire for use by the form after 15 minutes.
  • Email-sending error records: retained for up to one month under the current WP Mail SMTP configuration.
  • Expired data and backups: expiry does not necessarily cause immediate physical deletion from underlying storage. Copies contained in backups may remain until those backups are replaced or deleted under the applicable backup-retention process.
  • Access logs: kept by Hostinger under its own retention practices.

7. Where information is processed

Some of Hostinger’s infrastructure, including the servers that handle our email, is outside India. We handle such processing in line with applicable Indian law.

8. Your rights

Where applicable under law, you may ask us:

  • for information about the personal information we hold about you and how we use it;
  • to correct, complete or update it;
  • to erase it, unless we need to keep it by law or for a legitimate legal or business purpose; and
  • to withdraw your consent, where we rely on consent.

When the relevant provisions of the Digital Personal Data Protection Act, 2023 and its Rules come into force, you will also be able to nominate someone to exercise your rights if you die or become incapacitated, and to complain to the Data Protection Board of India if we do not resolve your grievance.

9. Grievances and contact
